The Short Version

The Rescue Desk provides administrative support, organization, research, templates, educational information, and practical help to animal rescues and animal-welfare organizations.We are here to help.We are not your lawyer, accountant, tax preparer, veterinarian, auditor, government representative, financial advisor, or regulatory authority.We can help you organize the mess.We cannot professionally certify that the mess is legally, financially, medically, or regulatorily perfect.When something needs a qualified professional, we will tell you.

The Long Version

What We Do

The Rescue Desk provides practical, behind-the-scenes administrative support for animal rescues. We help with bookkeeping and recordkeeping organization, expense and revenue tracking, spreadsheets, forms, volunteer systems, policies and procedures, grant research and application support, fundraising organization, social media and basic graphics, website and Petfinder updates, file cleanup, backlogs, and general admin that has been sitting untouched for way too long.Sometimes that means building a system from scratch. Sometimes it means cleaning up what you already have. Sometimes it just means taking one annoying thing off your plate so you can move on to the next hundred things.Our job is to make the administrative side of rescue easier, clearer, and less overwhelming.

What We Do Not Do

The Rescue Desk is here to support your organization, not replace the professionals you may legally or practically need. We do not provide legal, tax, accounting, veterinary, or regulatory advice, and we do not act as your lawyer, accountant, auditor, veterinarian, board, or government representative.We also do not make decisions on behalf of your rescue, control your bank accounts, move money, sign contracts, file taxes unless separately qualified and engaged to do so, guarantee grants or funding, or take over the day-to-day operation of your organization.And we will never help hide, alter, backdate, fabricate, or misrepresent records. If something is messy, missing, late, or needs correcting, we can help you sort it out. We just will not make something false look true.

Administrative Support Is Not Professional Advice

We may help you organize financial information, categorize records, create tracking systems, identify missing documentation, prepare questions for your accountant, or explain information in plain language. That does not turn our administrative bookkeeping support into professional accounting, auditing, tax, or legal advice. The same applies to policies, contracts, bylaws, governance documents, compliance checklists, and any other materials. We can research them. We can help draft them. We can help organize them. We can help you understand what questions need to be asked.But when professional review is required, your organization is responsible for getting that review.

Your Organization Is Still Responsible

The Rescue Desk can help organize the work, build the systems, clean up the records, and make things easier to manage, but your organization is still responsible for the final decisions and the information you provide. That means making sure your records are accurate, reviewing anything we prepare, meeting your own filing and reporting deadlines, keeping required documents, following the laws and rules that apply to your rescue, and getting professional advice when it is needed. We can help carry the load. We cannot become legally responsible for your organization just because we helped you sort through it.We are extra hands.We do not become the board.

Information Accuracy

We can only work with what we are given. If information is missing, inaccurate, outdated, duplicated, incomplete, or simply nowhere to be found, the work we produce may also be incomplete or inaccurate. We may flag something that looks unusual or appears to be missing, but we cannot guarantee that we will identify every error, discrepancy, compliance issue, missing receipt, missed filing, or tiny financial mystery hiding in a spreadsheet from 2021.Before relying on anything we prepare, your organization is responsible for reviewing it and confirming that the underlying information is correct.

Bookkeeping & Financial Records

Bookkeeping support provided by The Rescue Desk is administrative in nature unless a separate written agreement specifically states otherwise. We may organize transactions, create spreadsheets, categorize expenses, reconcile information supplied to us, prepare summaries, identify missing documentation, or help create better recordkeeping systems.We do not audit your books.We do not independently verify every transaction.We do not certify financial statements.We do not guarantee that records will satisfy the CRA, IRS, a funder, an auditor, a court, or another regulatory body.

Data Retention

The Rescue Desk is an administrative support service, not a permanent records-storage service. We may retain working copies of documents, spreadsheets, communications, forms, or other information for as long as reasonably necessary to complete the work, provide ongoing support, maintain appropriate business records, or meet applicable legal obligations. Information that is no longer reasonably required may be deleted, archived, anonymized, or securely disposed of when appropriate. Organizations are responsible for maintaining their own complete copies of all important records and should never rely on The Rescue Desk as the only place those records exist. Please do not assume that because you sent something to us once, we will still have a copy several years from now. Your records belong in your records system too.

Information Security

The Rescue Desk takes reasonable steps to protect information entrusted to us. Depending on the work being completed, this may include limiting access to information, using password-protected accounts or devices, relying on reputable third-party platforms, and avoiding the unnecessary collection or sharing of personal information. However, no electronic storage system, email service, cloud platform, website, device, or internet transmission can be guaranteed to be completely secure. The Rescue Desk cannot guarantee that a cybersecurity incident, unauthorized access, technical failure, data loss, or other security event will never occur. If we become aware of a significant unauthorized disclosure or access involving information provided to us, we will take reasonable steps to address the situation and notify the affected organization where appropriate. Organizations should also tell us immediately if they believe information shared with The Rescue Desk has been compromised or was sent to us accidentally.

No Emergency Services

The Rescue Desk is not an emergency service and does not provide emergency veterinary assistance, crisis intervention, emergency legal services, emergency financial services, animal control services, or emergency response. Messages may not be reviewed immediately. If an animal or person is in immediate danger or requires urgent medical assistance, the organization should contact the appropriate veterinarian, emergency service, animal welfare authority, law enforcement agency, or other appropriate professional. Please do not send us an emergency message on Facebook and assume someone is watching the inbox.

No Monitoring Obligation

Unless specifically agreed in writing, The Rescue Desk does not continuously monitor an organization’s accounts, records, finances, inboxes, grant portals, websites, social media accounts, government accounts, or other systems. Simply because we have been given access to an account does not mean we are continuously watching it. If something requires our attention, please tell us directly.

Records We Did Not Create

The Rescue Desk may sometimes organize, summarize, enter, transfer, or work with records that were originally created by another person or organization. Our involvement does not verify that those original records are accurate, authentic, complete, or legally sufficient. Entering information from a veterinary invoice into a spreadsheet does not mean The Rescue Desk has verified the veterinary treatment. Entering transactions from a bank statement does not establish the underlying business purpose of those transactions. Organizing an adoption record does not independently verify information supplied by the adopter, foster, rescue, veterinarian, or another party. We organize information. We do not magically turn unverified information into verified information by putting it into a nicer spreadsheet.

Conflict of Interest

The Rescue Desk may work with more than one rescue organization, including organizations operating within the same geographic area. Working with one rescue does not create exclusivity unless that has specifically been agreed to in writing. Confidential information belonging to one organization will not knowingly be shared with another organization simply because both organizations use The Rescue Desk. If we become aware of a situation where our involvement with multiple organizations creates a meaningful conflict that prevents us from acting appropriately, we may decline, pause, or discontinue the affected work.

Reliance on Outside Information

The Rescue Desk may use information from government websites, grant providers, regulators, professional organizations, software providers, charities, educational resources, or other external sources when preparing resources or providing support. We make reasonable efforts to use reliable and current information, but outside information can change. Government programs change, grant criteria change, forms are replaced, websites are updated, rules are amended, and requirements can shift over time. Information that was accurate when a resource was created may later become outdated. For anything important, organizations should verify current requirements with the relevant authority or qualified professional before acting.

Geographic Limitations

The Rescue Desk may provide resources that are useful to organizations in different provinces, territories, states, or countries, but laws and regulatory requirements vary significantly by jurisdiction. A resource discussing Canadian requirements may not apply in the United States, a requirement in Ontario may not apply in Alberta, and a U.S. federal rule may exist alongside additional state requirements. Whenever location matters, the organization is responsible for determining which laws, regulations, and reporting requirements apply to it. General educational resources should never be assumed to apply everywhere simply because they were posted online.

Changes to This Disclaimer

The Rescue Desk may update this disclaimer as our services change, legal requirements evolve, or we identify areas that need clarification. The most current version published by The Rescue Desk should be treated as the current general disclaimer. Organizations working with us under a separate signed agreement should also refer to the terms of that agreement, as it may contain additional conditions or protections.
